What is the correct procedure to add a conferance room resource. Add as a
user? does it need to be setup in
outlook as a user?

What version of Exchange Server should we assume here -
5.0/5.5/2000/2003/2007?
It's best to mention this upfront in your original post.... Smile

The options:
- Exchange 2003/2000: Setup a user account and configure Direct Booking.
Creating Resource Mailboxes in Exchange 2000

- Exchange Server 2003: You also have the option of Auto-Accept Agent.
Preferred over Direct Booking.
